How to set up a QR code queue system in an afternoon (no app, no hardware)

A step-by-step guide to setting up a QR code queue system for a small business, from printing the code to calling your first customer, with no app download and no ticket machine.

Most guides about "queue management" assume you're kitting out a bank branch. This one doesn't. If you run a small walk-in place, like a barbershop, a café, a repair counter, or a food truck, you can have a working QR code queue system running before your next busy shift, with nothing but a printer and a phone.

I did exactly this for my own shop after years of managing a line with a notepad. Here's the whole process, start to finish, with the mistakes I made so you don't have to.

What you're building

A QR code queue system is a virtual waitlist that customers join by scanning a code. No paper tickets. No dispenser bolted to the wall. No app for anyone to install.

The flow is simple enough to explain in one breath:

  • Customer scans the code, joins the line on their phone, and sees their position.
  • You tap "next" when you're ready, and the front of the line gets called.

That's the entire product. Everything else is polish.

What you actually need

Keep the shopping list short. You need:

  • A QR queue tool that gives customers a web page (not an app download). I use filaro because that's the one I built for this exact situation, but the steps work with any browser-based QR queue.
  • A phone or tablet for yourself, to run the queue.
  • A printer, or a phone with a screenshot and a nearby print shop.

You do not need a ticket machine, a dedicated screen, or wifi hardware. The customer's own phone is the terminal. That's the whole trick.

Step 1: Create your queue and grab the link

Sign up and create your shop. You'll get a public page, usually something like /q/your-shop-name, and a QR code that points straight to it.

Test it before you do anything else: open the code on your own phone, scan it, and make sure it lands on your shop's join page. Sounds obvious. I once printed forty table tents pointing at a broken link because I skipped this. Scan first, print second.

Step 2: Print the code and put it where eyes go

This part matters more than people think. A QR code nobody notices is a queue nobody joins.

Where I put mine, and why:

  • On the mirror by the door. It's the first thing someone sees walking in.
  • A small table tent by the till. For the people who come straight to the counter to ask about the wait.

Add one line of plain text next to it: "Scan to join the queue." Don't make people guess what the code does. If your space is bigger, a second code near the seating area helps.

Step 3: Open the queue when you open the shop

Most tools have a single toggle: queue open or closed. Open it when you start the day.

This sounds trivial, but it's the fix for a specific embarrassment: a customer scanning a code at 8pm and joining a line that isn't moving because you've gone home. Closing the queue at the end of the day means the code politely tells them you're shut, instead of leaving them waiting for a call that never comes.

Step 4: Work the "next" button and nothing else

Here's the part that changes your day. Once the queue is live, your only job is one button.

Chair frees up, or the counter's clear, or the next repair's done, and you tap next. The person at the front gets pinged that it's their turn. You never write a name, re-count a list, or shout across the room again. You just serve, tap, repeat.

The first shift feels slightly strange because you keep reaching for the notepad out of habit. By the second one, tapping "next" is muscle memory.

Step 5: Let people leave (this is the point)

Tell your customers they can step out. Seriously. The whole advantage of a virtual waitlist over paper is that people don't have to guard a physical spot.

Because the position updates live on their phone, someone in third place can nip next door for a coffee and drift back when they're near the front. Your waiting area stops feeling like a crowded bus stop, and this surprised me, the mood of the whole room improves. When everyone can see where they stand, nobody's anxious, and nobody interrupts you to ask "am I next?"

Common mistakes to avoid

A few things I got wrong or watched others get wrong:

  • Hiding the code. Under the counter, behind the card machine: if it's not at eye level near the entrance, adoption tanks.
  • No instruction text. "Scan to join the queue" converts far better than a bare code.
  • Forgetting to close the queue at night, so people join a dead line.
  • Using it for the wrong model. If you're appointment-only, this isn't your tool; you want a booking system. A QR queue is for live walk-in lines.

How long this really takes

Genuinely, an afternoon. Creating the queue and testing the link is ten minutes. Printing and placing the codes is another ten. The rest is just running one real shift to build the habit. There's no installation, no hardware delivery, no training day.
